1. Who These Terms Are Between

These terms are between Groundwork Dental ("we", "us") and the dental practice that buys a website build or Groundwork Managed from us ("you"). Paying for either, or ticking the terms box at checkout, means you accept them. Questions go to [email protected]. How we handle personal information is in our privacy policy.

2. The Website Build

  • Preview first. We build a preview of your new website before you pay. If you don't want it, you owe nothing.
  • Price. $2,000, paid once. It is due before the site goes live on your domain and before accounts are transferred to you.
  • Revisions. After full payment you get 30 consecutive days of included revisions. The 30 days start when you send your first revision request, not on the day you pay.
  • Not included: paid advertising, complex software integrations, patient portal development, and ongoing marketing, unless you add Groundwork Managed.

3. What You Own

Once the build is paid in full, you own the website code, the content we wrote for your site, your domain, and your hosting, code and Google accounts. Nothing depends on us to keep running. We may show your finished site as an example of our work; tell us if you'd rather we didn't, and we'll stop.

4. Your Content and Responsibilities

  • You confirm you have the right to use the photos, logos, text and other material you give us.
  • You are responsible for the clinical accuracy of what appears on your site and in your videos, and for meeting your state dental board's advertising rules. We check for common problems (guarantees, superlatives, price promises), but the final review is yours.
  • Nothing we make for you is medical advice, and we don't guarantee search rankings, AI citations, calls or new patients. Nobody can.

5. Groundwork Managed

Groundwork Managed is optional. It costs $200 per month, or $1,200 per year paid in advance. It includes weekly patient-question prompts, editing and publishing of up to 6 videos a month, content changes on request, a yearly refresh of your site, and, if you want it, management of your technical accounts (domain registrar, DNS, hosting, analytics).

  • Nothing is published without your approval. We send a preview of each video and post. You approve it or ask for changes.
  • Permission to use your recordings. You let us edit what you send and publish it to your website, your Google Business Profile and your video channels. The recordings and everything published remain yours.
  • Patient privacy. Don't send patient images, X-rays, charts or before-and-after photos unless the patient has signed a consent form for marketing use, and tell us it's on file when you upload. We blur private details that appear by accident and hold anything we're unsure about for review.
  • Unused videos don't carry over to the next month.
  • Accounts we manage are held for you. Ask at any time and we transfer them back at no cost.
  • Recording equipment is your own purchase. We recommend a kit on our recording guide, but don't sell or supply it.

6. Billing and Cancellation

  • Groundwork Managed renews automatically: monthly plans each month, yearly plans each year. We'll email you at least 30 days before any price change takes effect for you.
  • You can cancel at any time by emailing [email protected]. No notice period and no cancellation fee.
  • Monthly plans end at the close of the month you've paid for. The current month isn't refunded.
  • Yearly plans can be cancelled at any time. We bill each month started at the monthly rate ($200) and refund the rest of your yearly payment, if any, within 10 business days. For example, cancelling during month 3 refunds $1,200 − 3 × $200 = $600.
  • A single month of Groundwork Managed for one-off fixes is billed like any monthly plan.

7. When You Stop

Everything we published stays live and stays yours. On request, we send you the original recordings and hand back any accounts we were managing.

8. Limits

We do careful work and fix our mistakes. Beyond that, our total responsibility for any claim is limited to what you paid us in the 12 months before it, and we aren't responsible for indirect losses such as lost revenue or lost patients. Services outside our control (Google, Cloudflare, your domain registrar, Stripe) have their own terms and occasional outages.

9. Changes to These Terms

If we change these terms, we'll update this page and the date at the top. Changes that affect a plan you're paying for take effect at your next renewal, and we'll tell you by email first.

10. Governing Law

These terms are governed by the laws of the State of California. Any dispute will be handled in the state or federal courts in California, unless we both agree to settle it another way first. If one part of these terms can't be enforced, the rest still applies.
