How to Evaluate a Dental SEO Agency — A Practical Framework

That said, this framework is genuinely useful regardless of whether you ever become a client. These are the same tests and questions we’d tell a friend to use, and they work whether you’re evaluating us, a large dental marketing agency, or a local freelancer.
Use this framework on us, too. We pass every test below — but don’t take our word for it. Verify.
1. Domain Ownership
Your domain is your address on the internet. If someone else controls it, they control your online presence.
🚩 Red flag: The agency registered your domain in their name or their account. If you leave, you have to negotiate to get it back — or start over with a new domain and lose your SEO history.
✅ Green flag: The domain is registered to you, paid by you, in an account you control. The agency has access only if you grant it.
What to ask: “Do I own my domain registration?” Then verify it yourself — go to whois.com and look up your domain. The registrant should be you or your practice. If the agency’s name appears instead, you have a problem.

2. Platform & Portability
If the provider builds your website on a proprietary platform, switching providers might mean starting from scratch.
🚩 Red flag: Your site is built on a platform that only the agency controls. You can’t export your files, and no other developer can work on it. Ask “If I cancel, does my website stay online?” — if there’s any hesitation, conditions, or “well, our platform…” — that’s your answer.
✅ Green flag: Your site is built on standard technology — WordPress, Astro, Next.js, static HTML — and you can get a complete copy of all files, images, and content that a different developer could deploy somewhere else.
What to ask: “Can I export my website files and host them somewhere else?” If the answer is no, you don’t own your website. You’re renting it. We’ve written more about how the different approaches compare.

3. Contracts & Pricing
How an agency prices their work and structures their agreements tells you a lot about how they think about the relationship.
🚩 Red flag: No published pricing — you have to get on a sales call to find out what things cost. They’re pricing based on how much they think you’ll pay, not what the work actually costs. Long-term contracts with vague cancellation terms are another signal.
✅ Green flag: Published rates or a clear rate card upfront. Month-to-month agreements for ongoing work after any initial setup period. They’re confident enough in their work to let you leave.
What to ask: “What does this cost, and what happens if I want to cancel?” Some initial commitment (3 months) is reasonable — there’s real work in building a site. But for ongoing work, month-to-month gives you the most flexibility. You know what a Toyota costs before you walk into the dealership. You should know what a website costs before you talk to anyone.

4. Template Sites & Duplicate Content
These two go together because they’re two sides of the same shortcut — reusing work across clients.
Template sites aren’t inherently terrible — a good template is better than a bad custom site. But if you’re paying $5,000-15,000 for what the agency calls a “custom website” and it looks identical to their other clients’ sites, you’re overpaying.
🚩 Red flag: The agency’s client sites all look the same. Same layout, same structure, same stock photos, just different logos and colors. Or worse — the actual text on your service pages appears word-for-word on other dental websites.
✅ Green flag: Your site looks and reads like it was built for your practice. Unique design, unique content, specific to your location and services.
What to ask: “Show me five client websites.” Then actually look at them side by side. Do they look identical? Then run this test: go to one of your service pages, find a distinctive sentence from the middle of the page, copy it, and search it in Google with quotes around it. If that exact sentence appears on other dental websites, you’re not just getting a template design — you’re getting template words. Google recognizes duplicate content and devalues it.

5. Reporting & Deliverables
This one only applies if you’re paying a monthly retainer. If you are, you should know exactly what you’re getting for it.
🚩 Red flag: Monthly reports that are just a PDF with green arrows and no actionable data. Deliverables described as “SEO management” or “social media management” with no specifics. You can’t tell what they actually did last month.
✅ Green flag: They can tell you exactly what they’ll deliver — content pieces written, links built, pages optimized. Reports include actual keyword ranking changes (for specific terms, not just your practice name), organic traffic trends, and Google Business Profile performance. Concrete, countable things you can verify actually happened.
What to ask: “What specific deliverables will I receive each month?” You want to hear things like “4 blog posts, 2 GBP posts per week, monthly technical audit.” If the answer is vague, that’s your answer.

6. Site Performance
This one you can check yourself in 60 seconds with Google PageSpeed Insights. Enter your website URL and look at the mobile score.
🚩 Red flag: Mobile score below 50. Your site has technical health problems that are hurting your rankings. Below 30 is serious. If your current agency built or manages your site and the score is this low, they’re not maintaining the technical foundation.
✅ Green flag: Mobile score of 80+. That’s where a well-built dental website should land. Fast load times, clean code, optimized images.

The Checklist
Before you sign anything, make sure you can check every box:
- You own your domain registration
- You own your website files (or can export them)
- You know what things cost before getting on a call
- Your content is unique to your practice
- You can leave without losing everything
- You can verify what you’re paying for each month
None of this is unusual to ask for. It’s just worth confirming.

Run three simple tests: (1) Ask if you own your domain and can take your site with you if you cancel. (2) Ask to see another client's site and check if it looks identical to what they're proposing for you. (3) Look up their client's domain on WHOIS to see if the agency or the dentist owns it. Legitimate agencies pass all three.
It depends on the terms. Month-to-month agreements give you the most flexibility. Longer contracts can be fine if the provider has a track record and there are clear performance expectations. Some setup fees with a short initial commitment (3 months) are reasonable. Just make sure you understand the cancellation terms before signing.
A proprietary CMS is a website builder that only the provider controls. If you cancel, your site may not be portable because it's built on their platform rather than standard technology. You may not be able to export it or hire another developer to work on it. It's worth understanding the portability limitations before committing.
Take a unique sentence from your website's service page (like your 'About Our Dental Implants' section) and search it in quotes on Google. If the exact same text appears on other dental websites, your agency is using template content across multiple clients. This hurts your SEO because Google devalues duplicate content.
Meaningful reports should include actual keyword ranking changes (for specific terms, not just your practice name), organic traffic trends from Google Analytics, Google Business Profile performance (calls, direction requests, views), new backlinks acquired, and content published. If the report is just a PDF with green arrows and no actionable data, it's a vanity report.
Legitimate ongoing dental SEO ranges from $500-3,000/month depending on the scope. Below $500/month, there's not enough budget to do meaningful work. Above $3,000/month, you should be getting aggressive content creation, backlink outreach, and measurable growth. Always ask exactly what deliverables you're getting for the price.
You can handle some aspects yourself — especially Google Business Profile optimization and review generation. But technical SEO, content strategy, and backlink building require expertise and time most dentists don't have. The key is owning your foundation (domain, hosting, website files) so you're never dependent on any single provider.
The five critical questions are: (1) If I cancel, does my website stay online? (2) Can I export my website files? (3) Do I own my domain registration?
